Athletics Ontario part-time opportunity: Officials & Volunteers Coordinator

Athletics Ontario (AO), the Provincial Sports Organization (PSO) for Athletics is looking to hire one (1) individual for part-time (limited-term of 700 hours) employment as an Officials & Volunteers Coordinator. The successful candidate will assist our Membership Services Director and the Competitions Manager, with administrative functions and assist with officials and volunteer events, for major events including Ontario Championship events, local and regional events for children, youth, and seniors, and an annual awards gala and hall of fame ceremony and other virtual events and programming.

Position: Officials & Volunteers Coordinator

Start Date: October 2, 2023 | End Date: June 30, 2024

Term: approximately 20 hrs/week for a total of 700 hours

Tasks and Responsibilities

  • Responsible for the recruitment, training, scheduling, recognition, and retention of volunteers
  • Scheduling, contributing to, and coordinating Officials training sessions for the new technology platforms.
  • Ensuring participants receive an exceptional mentorship experience.
  • Collecting volunteer information, availability, and skills, and maintaining an up-to-date database.
  • Using marketing tools such as outreach programs, e-mails, and volunteer databases.
  • Keeping new and existing volunteers informed about the organization and volunteer opportunities.
  • Matching volunteers to opportunities that suit their skill sets, and ensuring they understand their responsibilities and receive the proper training.
  • Organizing training and leading on-the-job training.
  • Keeping schedules and records of volunteers’ work.
  • Preparing codes of conduct and operating procedures to uphold the organization’s values.
  • Ensuring the organization’s purpose is conveyed to stakeholders
  • Assisting in the development of an Officials & Volunteer recruitment strategy and program

Requirements and Qualifications

  • The role will require strong competency in Google Workspace along with other technology platforms, including use of a new application developed to improve communication and scheduling of volunteers and officials.
  • The Coordinator should possess strong verbal, written, digital communication and customer service skills.
  • An associate’s degree in business management, human resources, or a related field.
  • Experience in volunteering and recruitment.
  • Working knowledge of databases.
  • Excellent communication and interpersonal skills.
  • Excellent organization and team-building skills.

Location:  This position will be partially remote in nature with some daytime, weekend and evening work may be required off-site, during Training sessions, Championship events and other functions). This project may operate at the Athletics Ontario office at 3701 Danforth Avenue, Toronto, Ontario, M1N 2G2, or at events, communities and schools within the Greater Toronto & surrounding areas. A reliable laptop and reliable internet access will be necessary to carry out tasks for this position.

Wage Rate: $20.00/hour
